Offer Vacancy

An offer creates a work request notification for the selected staff. Offers are not mandatory, users have the option to accept, decline, or skip a work request.  If the recipient accepts an offer, the offer immediately becomes a mandatory assignment.  If the recipient declines the work request, the offer immediately withdraws from the recipient's calendar.  If the recipient skips the work request, the offer remains on the recipient's calendar until it either expires or someone else accepts.Staffers can send a single offer for a single position, or send multiple offers for a single position. To send a work request, follow the steps outlined below.

***REMINDER: In order for staff to view offers on their calendar, the event must be in a Published state.

 

  1. Locate the event title on either the Calendar or Roster. From the Calendar click the or icon next to the event's title to display the event's positions. From the Roster  locate the event title and click the expand button to display your positions.

  2. Locate the vacancy you want to offer.

  3. Click Offer to display the Send Work Offer screen.  A list of candidates display and rank in the order detailed by your rules.

     

  4. Select your candidate. To select multiple candidates, left-click your mouse and press your CTRL key to select additional offer candidates - the first candidates to accept the offer are staffed.

  5. After you have selected your candidate(s), click Select to move your candidates into the Selected Staff box.

  6. Click Send Work Offer to update the Roster.

  7. If desired - The Move Up and Move Down links, move the candidates accordingly in the Selected Staff box.  The Remove link, removes candidates from the Selected Staff box.

 

Force Offer

To locate a person who is not on the candidate list because of various reasons, such as lack of required attribute, staffed some where else, invalid membership, work schedule violation or work constraint violation etc., follow the steps outlined below.

  1. Locate the vacancy you want to offer.

  2. Click Offer to display the Send Work Offer screen. A list of candidates display and rank in the order detailed by your rules.

  3. Locate the position's assigned Rule Set, and click the down arrow, to display all of your configured rule sets.  At the top of the list the ---Staff Search Page--- displays, select this option to display your Search screen.

  4. In the Search screen, find your candidate, if the person is available the system will allow you to force fill.

  5. Select your candidate from the Search screen and click Send Work Offer. Select your candidate. Moreover, if the action violates the person's work schedule and/or work constraint pattern the system will alert you as well as permit you to override schedules and constraints. If the person is staffed somewhere else, the system will not allow you to double book, however you can utilize the Move feature to move the person from one event to another.

 

Respond to Recipients Offer (Staffer)

To respond to an offer for the recipient, go to the Staff List tab, find the recipient, and click on the calendar icon located next to his/her name. This calendar icon displays assignments, offers, and the user's work codes. Locate the assignment on the recipient's calendar and click on the assignment link.  The work request details display, along with two buttons labeled Accept and Decline, to respond click Accept or click Decline.
